This privacy notice explains how Productive Leadership (“we”, “us”, “our”) collects, uses, and looks after personal data when you visit www.productiveleadership.org, join the wait list, create an account, or take a leadership assessment.

Productive Leadership is produced in partnership with NHS Horizons. This website is operated by us, not by the NHS. Nothing on this page is medical advice.

If you do not agree with this notice, please do not use the site or create an account.

1. Who we are

The data controller for this website is:

2. Personal data we collect

We only collect what we need to run the site and the assessment service.

When you browse as a visitor

  • Technical data such as IP address, browser type, device, and pages viewed, through our hosting and (where you allow it) analytics tools.
  • Cookie and consent choices, through our cookie banner.

We do not run a contact form or email newsletter on this site. If you email or phone us using details published on the site, we will hold the information you send so we can reply.

When you join the wait list

  • Email address only, until you are invited and create an account.

When you create an account

  • Name and email address.
  • Sign-in details and session information (handled by our authentication provider).
  • Your role on this site (for example a standard user or a staff administrator) and whether the account is enabled.

When you take a leadership assessment

  • A title you give the attempt, start and completion dates, and your scores (1–5) against each statement.
  • Calculated domain and attribute averages for that attempt.
  • Whether you choose to include that completed attempt in the overall average shown to other signed-in users.

When you export results

  • We generate a PDF or CSV of your completed assessment so you can download it. That file is created on request; we do not keep a separate copy of the export beyond the underlying assessment record.

We do not collect payment card details on this site, and we do not use this service to make automated decisions that produce legal or similarly significant effects about you.

We do not sell personal data. We do not use assessment answers for advertising.

4. Leadership assessments

Assessments are self-reflection tools. Answers are stored against your account so you can finish later (drafts save automatically), review past results, and download a PDF or CSV.

Who can see your answers

  • You can see your own in-progress and completed assessments.
  • Staff administrators can see account details (name, email, role) so they can manage access. They cannot open another person’s assessment answers through this site.
  • Other users never see your named scores. If you opt a completed assessment into the overall average, only combined domain and attribute averages are stored for that comparison. Your name, email, and individual statement scores are not shown there. You can opt out at any time; the overall figures are then recalculated without that attempt.

If you delete an assessment, or delete your account, that attempt is removed from our database. Opted-in averages are recalculated so your scores are no longer part of the overall figure.

5. Who we share data with

We use other organisations to run the service. They only process data on our instructions.

  • Clerk — wait list, sign-up, sign-in, and account profile (name, email, session). Clerk privacy
  • Neon — database for app user records and assessment submissions.
  • Sanity — website and article content (not your assessment answers).
  • Vercel — hosting, plus Web Analytics and Speed Insights.
  • Cookiebot (Usercentrics) — cookie consent on the live site. Cookiebot privacy

Staff at Productive Leadership who administer the site can access account and wait-list information as described above.

We may also disclose data if the law requires it, or to protect the site, our users, or others.

We do not share identifiable assessment results with NHS Horizons, employers, or other users unless you choose to download and share your own PDF or CSV.

6. Cookies and similar technologies

On the live site we use Cookiebot to ask for your consent, except for cookies that are strictly necessary (for example to keep you signed in or remember your cookie choice).

You can change or withdraw cookie consent at any time through the Cookiebot settings on this website.

Typical categories

  • Necessary — sign-in session (Clerk) and consent storage (Cookiebot).
  • Statistics / preferences — only if you allow them. This may include Vercel Analytics and Speed Insights, which are designed to use little or no personal data. We do not use them to identify you as an individual.

A live list of cookies is maintained by Cookiebot.

7. How long we keep data

  • Wait-list email — until we invite or decline the request, or you ask us to remove it.
  • Account — for as long as the account exists.
  • Assessment drafts and completed results — until you delete that attempt, or your account is deleted.
  • Overall averages — kept as combined figures only, and updated when people opt in or out.
  • Emails you send us — for as long as needed to handle the enquiry, then in line with [your retention policy, e.g. 12 months].
  • Analytics — in line with those providers’ retention settings.

If you delete your account with us (through Clerk account management, or by asking us), we delete your assessment submissions and app user record. Assessment templates (the questions themselves) are not personal data and may be kept.

8. International transfers

Some of our providers are based outside the United Kingdom (including in the United States). Where we transfer personal data internationally, we rely on an appropriate safeguard, such as the UK Addendum to the EU Standard Contractual Clauses, or another mechanism approved under UK data protection law.

9. Your rights

Under UK GDPR you can ask us to:

  • access the personal data we hold about you
  • correct inaccurate data
  • erase data in certain circumstances (including deleting your account or individual assessments)
  • restrict or object to certain processing
  • receive a copy of data you provided to us (data portability)
  • withdraw consent where we rely on it (cookie categories, and opting into the overall average)

You can already:

  • edit your name and email in your Clerk account
  • delete an in-progress assessment
  • opt a completed assessment in or out of the overall average
  • download your completed results as PDF or CSV
  • delete your Clerk account, which also deletes your assessments on this site

To use these rights, email [privacy contact]. We may need to confirm it is you before we act.

You can also complain to the Information Commissioner’s Office (ICO). We would like the chance to put things right first.

10. Children

This site is for adults in professional leadership development. It is not aimed at children, and we do not knowingly collect data from anyone under 18. If you believe we have, please contact us and we will delete it.

11. Changes to this notice

We may update this page when the service or the law changes. The “Last updated” date at the top will change. Continued use after an update means you should read the new notice.
